At the heart of this initiative is the creation of a comprehensive campus calendar, designed to be inclusive and accessible, making it easier for students, faculty, and staff to participate fully in campus life.

The Office of Institutional Events (OIE) at RPI is committed to ensuring that all campus events uphold the institute’s standards of excellence, knowledge, and rigor. Through leadership, collaboration, and transparent processes, OIE works with faculty, staff, and students to plan and execute events that foster engagement, communication, and high-quality outcomes.

OIE strives to elevate the impact of campus events by maintaining consistency in execution, offering centralized resources, and fostering strong communication across portfolios. Our mission is to support event planning through leadership, partnership, and guidance, ensuring all events align with RPI’s standards.
How We Support Events
To streamline event coordination, OIE plans to implement an Events Project Dashboard, which includes a campus-wide calendar and accessible resources. We also define clear categories for event ownership, ensuring appropriate levels of oversight and collaboration:
Events with OIE as Primary Owner
These events are fully managed by OIE to maintain institutional excellence:
- Commencement
- President’s Commencement Picnic
- Colloquy
- Freshman and Honors Convocations
- Town Meetings
- Holiday Concert
- Presidential Special Events
Events with OIE Partnership
For select events, OIE collaborates with schools, divisions, and research institutes to ensure smooth execution:
- Trustee Celebration of Faculty
- Black Family Technology Awareness Day
- Welcome Back Faculty
- Seasonal Celebration
Other RPI Events
For events that do not fall directly under OIE ownership, we assess the need for deeper partnership using the following criteria:
- The presence or speaking role of President Schmidt
- An expected attendance of over 100 individuals
- Outward-facing events with significant engagement
- Trustee-hosted or attended events
- Award ceremonies (Institute-wide and external-facing)
- High-profile engagements with VIP attendees
When an event meets any of these criteria, organizers will need to consult with OIE to determine the appropriate level of partnership. For all other events, OIE remains available as a resource.
Building a Unified Event Calendar
To foster seamless event coordination and avoid scheduling conflicts, ALL events must be submitted with OIE in advance for inclusion in the RPI-wide calendar.
This framework serves as the foundation for further discussion and refinement, ensuring that RPI’s events reflect the institute’s values and priorities.

- Search & Filter Options – Users will be able to search for events based on categories, departments, or event types.
- Automated Notifications & Reminders – Built-in alerts, such as Morning Mail, to keep attendees informed about upcoming events.
- Collaboration Tools – Features for event organizers to coordinate with OIE and other departments more efficiently.
- Accessibility & Inclusivity Enhancements – Ensuring information is clear, easy to navigate, and accommodates diverse needs.
